Employers using E-Verify should download and preserve the data by end of the year

US employers who are registered in the “E-Verify”, the electronic system for job eligibility verification must prepare for downloading and preserving the entire e-Verify information submitted to the USCIS by the 31st December 2015.

On the yearly basis, the USCIS should arrange the E-Verify records that are10 year old 1st January in order to abide by with the disposal needs. To permit the E-Verify users for preventing their ten years old record, the US had created a latest Historic Records Report”.

Participating in the E –Verify does not permit an employer to give out with the Form I-9 requirements. All the employers should properly complete the Form I-9 for each employee hired on or after 6th November 1986. Employers are needed to maintain a completed Form I-9 for either three years after the employee’s date of hiring or an initial year after the employee’ date of termination whichever is later.

While the preparation and maintenance of the Form I-9 by the employers is compulsory for the businesses, participation in the E-Verify is voluntary in many situations.

E-Verify access is available for the business entities which signed a MoU with the US DHS. The E-Verify system compared data from an employee Form I-9 against the information held by Social Security Administration and by the DHS in order to confirm that the identity of the individuals and job eligibility.

To abide by the orders and for preserving vital employee information in the normal course of business, employers registered in the E-Verity with the records created on or before 31st December 2015 must download the latest reports on Historic Records and do it not later than the conclusion day of the year 2015.

The report would also include all the transaction records for the cases over ten year old. The report would also contain the data about all E-Verify questions which would otherwise be automatically wash out from the database on 1st January 2016.

At the time of logging in E-Verify, the employers would find the instructions on how to download the report, how to export it to the Excel and save it on the outside. Only cases linked with the Employer or E-Verify Employer Agent ID of the user account would be displayed in the report.
